For developers & builders

Developer HOA software for lot sales, closings and turnover.

Run the neighborhood on a live lot map from the first plat, let title companies request closing packages online at a fee you set, and hand the HOA to its homeowner board with organized records instead of boxes.

Your problem

Your sales office shouldn't be the HOA help desk.

  • Lot status lives in a spreadsheet that is wrong the day after it is updated, and the sales team, lender and title company each keep their own copy.
  • Every closing triggers the same phone tag: the title company needs HOA documents, dues status and a closing letter, and someone on your staff has to dig them out.
  • New homeowners call the sales office with HOA questions for years after closing because nobody set up the association side.
  • Turnover to the homeowner board arrives as a pile of PDFs and an email thread, and the developer’s reputation rides on how that goes.

What changes

One record per lot, from plat to homeowner.

CommunityPilot treats the community as the developer’s product: every lot is tracked from available through reserved, under contract and closed, and the same record becomes the homeowner’s record, the HOA’s record and the management company’s record — nothing is re-entered at any handoff.

Interactive lot management (LiveMap)

A live plat of the neighborhood with lot status, model homes and ownership at a glance — the map your sales team and buyers actually use.

Lot pipeline

Available → reserved → under contract → closed, with the buyer attached to the lot and every transition recorded.

Title-company closing package requests

Title companies find the property and request the closing package through a public portal; you approve and it is delivered digitally.

Closing-package revenue

Set your own package fee. A community handling 20 closings a year at $200 each is $4,000 — a hypothetical example, not a customer result.

Buyer to homeowner, automatically

At closing the buyer becomes a homeowner with a portal login for dues, documents, requests and votes — no separate setup call.

Developer-to-HOA turnover

Turnover toward homeowner control is tracked in the system, and the board inherits the same organized records you have been using all along.

Why it's different

HOA software usually starts after you leave. This starts with you.

Traditional HOA management software begins when an association is formed. CommunityPilot begins when the neighborhood is platted, which means the documents, lots, owners and money that accumulate during development are already in the system the day the board takes over — and the board, and later a management company, keep working in the same platform.

Common questions

Does CommunityPilot replace my sales CRM?
No. It tracks lot inventory, buyers, closings and the community itself; it is not a lead-management CRM. Many developers run both, with CommunityPilot as the system of record for the neighborhood.
How do title companies use it?
They search for the property on a public request portal, submit a closing-package request, and receive the package digitally once approved — no phone calls or faxes. If you configure a fee, it is collected as part of the request.
What happens at turnover to the homeowner board?
The board takes over the same community record you built: lots, owners, documents, dues history and closing records. Turnover progress toward homeowner control is tracked in the platform.
Is developer signup available online today?
Signing up is free, but developer checkout is not yet self-serve online — contact us and we will get your neighborhood set up.
