Terms of Service

1. What CommunityPilot is

Software for running a community association: homes and lots, governing documents, dues and assessments, violations, maintenance, voting, ownership transfers, closings, and an interactive community map.

We are a software provider, not a manager, not an agent, and not a fiduciary. We do not run your association, make decisions for it, or hold its funds. What the software records is what your board put into it.

2. Accounts and access

You are responsible for your credentials and for what is done under them. Tell us promptly if you think an account has been compromised. Board and administrator roles can see and change a great deal; grant them deliberately.

3. Your data is yours

You keep ownership of everything you put in. You grant us the licence we need to host, process and display it in order to provide the service, and nothing beyond that. We do not use your data to train models, and we do not sell it.

You can export your data at any time, and we will provide a copy on request when you leave. See Data Access & Deletion Requests.

4. What you agree not to do

• Upload anything you do not have the right to upload.
• Attempt to reach another community's data, or probe for a way to.
• Use the service to harass a resident or to break the law.
• Resell or white-label the service without a written agreement with us.
• Load-test, scrape or automate against the service without asking us first.

5. Fees

Subscription pricing is on the pricing page. Closing and resale package fees are covered in the Payment & Refund Terms, which are part of this agreement.

6. Availability

We aim for high availability and we monitor it, but during the initial commercial period we do not offer a contractual uptime guarantee or service credits. We would rather say that plainly than publish a number we have not yet earned the operational history to stand behind. We will give notice of planned maintenance where we reasonably can.

7. Third-party services

Payments run through Stripe, email through Resend, text messages through Twilio, hosting through Vercel and Supabase. Their terms apply to their parts, and an outage at one of them can affect the service.

8. What we do not warrant

The service is provided "as is". We do not warrant that it is uninterrupted or error-free.

Specifically, and because it matters:CommunityPilot does not give legal, accounting, tax or insurance advice. Governing documents, budgets, reserve figures, resale certificates and fee amounts are your association's statements, not ours. Features that read a document or a site plan produce proposals for a human to confirm, and the software is built so that nothing becomes an official record until someone approves it. Do not treat an automated result as verified.

9. Limitation of liability

To the extent the law allows, neither party is liable for indirect, incidental or consequential damages, and our total liability is limited to the fees you paid us in the twelve months before the claim. Nothing here limits liability that cannot be limited by law.

10. Ending the agreement

You may cancel at any time; the subscription runs to the end of the paid period. We may suspend an account for non-payment or for a breach of section 4, with notice where circumstances allow. After termination we keep your data for 90 days so you can retrieve it, then delete it.

11. Changes

We will give at least 30 days' notice by email before a material change takes effect. Continuing to use the service afterwards means you accept it.

12. Governing law

Missouri law, and the state and federal courts sitting in Missouri.
