For HOA & condo boards

Self-managed HOA software for dues, documents, votes and violations.

Replace the spreadsheet, the checkbook and the email chains with one system your whole board — and every resident — can actually use. Priced for communities that never planned to buy software.

Your problem

You volunteered for the neighborhood, not for data entry.

  • Dues arrive as checks, get deposited by hand, and delinquencies are tracked in someone’s head or a spreadsheet nobody else can open.
  • The CC&Rs live in an old email attachment, so the same “where are the documents?” questions come back every month.
  • Votes and elections mean paper ballots, a counting night and no clean record if a result is questioned.
  • When a home sells, the new owner is a mystery until they show up at a meeting — and the title company has been calling the treasurer.
  • The board changes every year or two, and every handoff loses history.

What changes

The board’s work, on records that outlast the board.

Every dues payment, document, vote, violation and ownership change lives in one community record that doesn’t leave when a treasurer does. Residents get a mobile portal to pay and participate, so the board stops being the front desk.

Online HOA dues collection

Annual, quarterly or monthly assessments invoiced in one step; residents pay by card or bank, enroll in AutoPay, and delinquent accounts are visible without a spreadsheet.

Governing documents

CC&Rs, bylaws, minutes, budgets and notices stored once and available to every homeowner around the clock.

Elections and community votes

One vote per property, results tallied from the ballots themselves, and a permanent audit trail.

Violations and maintenance

Requests and violations submitted, tracked and resolved in one place, with the history attached to the home.

Ownership records and closings

Title companies request closing packages online; ownership changes are recorded on the home so the board always knows who lives where.

Communications

Email — and optional SMS — to the whole community or targeted groups, all logged.

Why it's different

Built for the whole community lifecycle — which is why the records are already there.

If your community was built on CommunityPilot, the board inherits the developer’s organized records at turnover. If you are switching from spreadsheets or another tool, CSV imports for homes, owners and balances plus bulk document upload mean the move is measured in hours, not weeks. Either way, if you later hire a management company, they can manage the association inside the same platform.

Common questions

How do residents pay dues?
Through their own portal on any phone or computer — by card or bank account, one-time or on AutoPay. Payments are processed by Stripe and paid out to the association’s own bank account.
What does it cost a small HOA?
Micro HOA Core is $99 per year for self-managed communities up to 100 homes, billed annually. SMS text-messaging packages are optional add-ons.
Can we bring our existing records?
Yes. CSV and spreadsheet imports cover homes, owners and balances, and documents can be uploaded in bulk.
Do residents need to install an app?
No. The resident portal is a mobile-first website — homeowners sign in from any browser.
What if we hire a management company later?
They can manage your association inside CommunityPilot alongside their other communities, using the records you already have.
